Privacy Policy

1. Overview

Heroes Pickleball (“Heroes,” “we,” “us,” or “our”) provides court reservations, coaching, events, player profiles, and community features through heroespickleball.com (the “Service”). This policy explains what information we collect, why we use it, when we disclose it, and the choices available to you.

2. Information we collect

  • Account information: email address, optional phone number, authentication records, and session information.
  • Profile information: display name, profile photo, bio, skill level, play preferences, partner information, veteran-verification status, and privacy settings.
  • Booking and transaction information: court reservations, coaching lessons, event registrations, accepted policies, prices, payment method and status, and transaction identifiers. Payment providers process payment-card or bank details; Heroes does not store complete card numbers.
  • Community information: Ready to Play status, match requests, messages, event participation, and other content you choose to submit.
  • Technical and security information: IP address, browser and device information, timestamps, rate-limit records, audit logs, and information used to prevent fraud, spam, and abuse.
  • Communications: messages and requests you send to Heroes, along with notification preferences and delivery records.

3. How we use information

  • Provide authentication, reservations, lessons, events, profiles, and community features.
  • Calculate eligibility and pricing, process payments, send confirmations, and provide support.
  • Display information according to your profile and presence privacy choices.
  • Protect accounts, enforce policies, investigate abuse, maintain audit records, and comply with law.
  • Improve reliability, accessibility, and the player experience.

4. How we disclose information

We may disclose information to vendors that help operate the Service, such as hosting and database providers, email and text-message providers, payment processors such as Stripe, and security providers such as Cloudflare. They receive information only as needed to perform services for us and are subject to their own terms and privacy practices.

Information you choose to make public—such as a public profile, profile photo, play preferences, or an active Ready to Play signal—may be visible to other members. We may also disclose information when required by law, to protect rights and safety, in connection with a business transfer, or with your direction.

Heroes does not sell personal information and does not share personal information for cross-context behavioral advertising.

5. Cookies and similar technology

We use essential cookies and similar storage for secure sign-in sessions, account preferences, fraud prevention, and core Service operation. We do not currently use third-party behavioral advertising cookies.

6. Retention

We keep information only as long as reasonably necessary for the purposes described here, including providing the Service, maintaining transaction and consent records, resolving disputes, preventing abuse, and meeting legal, tax, accounting, and security obligations. Retention periods vary by record type. Expired Ready to Play signals stop being displayed automatically; original profile-photo uploads are not retained after optimization.

7. Your choices and rights

You can edit profile information and visibility, delete or replace your profile photo, turn Ready to Play off, and manage notifications through your account. You may also request access, correction, or deletion of personal information by emailing privacy@heroespickleball.com. We may verify your identity before completing a request, and some records may be retained where permitted or required by law.

Depending on where you live, including California, you may have additional rights to know, access, correct, delete, or obtain a copy of personal information and to receive equal service when exercising privacy rights. Because we do not sell or share personal information for targeted advertising, there is no sale or targeted-advertising opt-out currently required for our practices. An authorized agent may submit a request where permitted by law.

8. Security

We use administrative, technical, and physical safeguards designed to protect information, including passwordless authentication, restricted routes, rate limiting, audit logging, payment-webhook verification, compressed image processing, and encrypted network transport. No system is perfectly secure, and we cannot guarantee absolute security.

9. Children

The Service is intended for a general audience and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 submitted information, contact us so we can review and delete it as appropriate. A parent or legal guardian should supervise participation and payment by minors.

10. Changes and contact

We may update this policy as the Service or law changes. We will post the revised version here and update the effective date; material changes may also be announced through the Service.
